For PTOs and PTAs that want a digital solution, Google Forms is an excellent, user-friendly option. Create a form for each teacher to fill out, customize the theme to match your group’s branding, and collect responses electronically. Parents can access the compiled favorites from a link in the school newsletter, on the website, or in an email — perfect for shopping on the go.
To set up a Google Form, open Google Forms, choose a template or start from scratch, then customize the header and theme to match your PTO branding. Use the live view to preview how the form will appear to teachers. Add fields for text, multiple choice, checkboxes, dates, or times as needed, and keep adding questions until the form is complete.
When your form is ready, add collaborators if you want others to help manage it, then use the Send button to share it with staff via email or a group list. Responses appear in a spreadsheet for easy review.
If you prefer a more polished presentation than a spreadsheet, you can transfer the responses into the printable template using Google Docs. Create a folder to hold each teacher’s completed printable and share that folder via link or email. This way, the shared view is clean and consistent — perfect for placing in newsletters or on the PTO website.
When parents click the shared folder link, they’ll see each teacher’s individual list. That makes it easy when a child has multiple teachers or when families want to shop for specific staff members.
